A handoff is successful when the next person can take the next step. That requires more than changing the assigned agent. It requires a short account of the problem, the work already done and the decision still needed.
Connext keeps private notes in the team workspace and excludes them from visitor messages. Use that space to give a teammate operational context while keeping the customer-facing conversation clear.
Start with the customer’s goal
Describe the outcome the customer is trying to achieve. “Customer needs to update the delivery address before dispatch” gives the next person a clearer starting point than “Address issue.” Avoid copying sensitive information into a note when the original message already contains the necessary context.
Record what has already been tried
Summarize the checks you performed and their outcomes. A short list is often enough. Include a relevant reference only when the teammate has permission to access it. Never paste passwords, access tokens or payment details into a conversation.
Make the next action explicit
End with the action or decision that remains open. For example, ask the next agent to confirm whether the order can still be changed, then send the customer an update. This example is a workflow illustration, not a built-in order-management integration.
If there is an agreed follow-up time, state it with a time zone. Do not assume that assigning a conversation creates an automated reminder; the current inbox provides ownership, not a scheduling engine.
Separate internal context from the reply
Before sending, check whether the composer is in reply or private-note mode. Keep speculation and internal discussion out of the customer response. Tell the customer what is happening in straightforward language and avoid promising a result that has not been confirmed.
Use the shared inbox to keep ownership visible, and return to the conversation after the handoff to confirm that the customer received the next response.
